Module 04 · Communication
Win back the guest who stopped coming, without watching for it
The promo code automation reacts to events, not to a calendar: when someone signs up, when they haven't been in for weeks, or when it's their birthday, the code goes out on its own. It's sent by push and by email, so it doesn't depend on the guest happening to open the app. You set it up once, and after that the system works for you.
Who it is for
For cafés, canteens and smaller bars with no dedicated marketer, where campaigns always slip to the week that happens to have time in it. It pays off most when a large share of your guests came in once or twice and then quietly drifted away. It works well across several venues too: the automation runs the same way everywhere, while redemptions can be reviewed venue by venue.
How it works
You pick the event
Sign-up, inactivity or birthday — these are what the automation can react to. Inactivity is the most common starting point: you're reaching a guest who already knows you and simply hasn't been in for a while. A code timed to sign-up, meanwhile, gives a second reason to come right after the first visit.
You set up the code
You define what the code is worth and whether it can be used once or several times — a multi-use code suits a recurring offer, for example. Codes live in the same system as rewards and tiers, so you don't have to run a separate coupon tool alongside it.
You switch it on and let it run
From then on the automation works by itself: when the event happens, a push and an email go out to the guest, even on days when you have other things to do. The send, the redemption and the transaction behind it sit in one database, so you can look back later at what it brought in.
What you get out of it
Set up once, running continuously
You don't have to produce a campaign calendar every month. The automation keeps working mid-season when nobody has time for marketing, and it doesn't forget to send anything after a hard week.
Churn doesn't slip away in silence
A code set to trigger on inactivity reaches the guest while they still remember you. That's the moment that is nearly impossible to catch by hand, because nothing in your calendar marks who hasn't come in.
A personal reason, not a mass mailing
A birthday code doesn't look like an ad, it looks like a gesture. The guest sees a place that keeps track of them — not another circular that went out to everyone in the same hour.
One system with the rewards
Codes live where the credit, the tiers and the challenges live: no separate coupon list and no separate reconciliation, and every movement stays traceable in the same backoffice.

Frequently asked questions
How much work is it to set up?
It's a one-off. You pick the event, define the value of the code and how it can be used, then it runs. The rollout itself takes three weeks: in the assessment we choose the first two modules, in the setup stage we fill up the backoffice together, and at go-live we switch on the first automations alongside the launch campaign.
Does anything have to change at the till?
The guest receives the code in the app, so sending it doesn't touch the counter and staff don't have to type codes in. Exactly how redemption should run alongside your stand software is something we look at in the free assessment — price sync and connecting the systems are part of the rollout.
Aren't I discounting for people who would come in anyway?
You control that by choosing the event. If you time it to inactivity, by definition you're reaching someone who hasn't spent anything with you for a while. And redemptions can be reviewed alongside every other transaction, so you don't have to decide by feel whether it was worth it — or guess the size of the next round.
What if someone passes the code on?
That depends on your setup: a code can be single-use or multi-use, and the latter exists precisely so it can spread. If spreading is the actual goal, the referral system in the Loyalty module rewards both the inviter and the invited, and the whole chain stays traceable.
